Full List of Needed Volunteer Help for VBS 

 VBS requires many adult hands to make it successful. Below is a list of all the tasks that need to be done.  There is something for everyone! 

St. Timothy School Parents can receive volunteer hour credits from VBS participation.  Some Tasks can be done from home.  Others require attendance during the VBS week.

VBS Volunteer Tasks Needs:

Can be done at home:

VBS website/bulletin updates – January.   Update all website pages with new theme, logo, dates, new links for registration, payments and forms and volunteer lunch/family picnic signups.  Update signupgenius for volunteer lunches and family picnic.   Place Save the Date notices in parish bulletin with registration opening March 1.  Replace bulletin notices as appropriate.

Registration: update on-line registration form.  Make Assignments. Manage payments and consents. Monitor health issues, comments. Reports for communications, class rosters, snack dietary, etc.   Could have 2 people.  Maybe one for volunteers and one for Campers.

Coordinating Supply Ordering: (should have an Amazon Prime account): Coordinate ordering supplies to reduce duplication and shipping costs. Maintain shopping list  –

Tie/Dye Help (see below) for 5th/6th graders

Create maps, schedules, rosters, etc. Nametags – print and insert nametags into holders with lanyards and collate them into groups.

At Camp Positions and Prep beforehand:

Snack: Plan for 4 days of snack using daily theme as the guide.  Provide families with ingredients ahead of time to determine food allergies.  Create shopping list and shop, submitting receipts for reimbursement.  Shopping includes food, paper supplies and anything else needed for snack station. Explain or have a Camp Counselor explain the significance of the snack choice as it relates to the theme of the day.  Supervise camp counselors to portion the snack and serve.

Faith: Develop a 4-day faith lesson coinciding with themes of the dayfor prek/k, 1-4th grades, and 5th-6th grade.  May include a simple craft and activity to fill a 25-minute time slot.  Select or create materials needed.  Copier in the Parish Office can be used.  Review VBS inventory of equipment/supplies. Purchase needed supplies.  Submit receipts for reimbursement. Set up/decorate classrooms to accommodate tasks the day before camp.

Craft: Develop crafts for 4 days of 25-minute sessions for prek/k, 1-4th grades, and 5th-6th grade.  You can use kits (particularly for prek/k) or have simple crafts with simple materials.  Have backup crafts for days when craft takes less time than expected. Order supplies. Set up/decorate classroom to accommodate task the day before camp.  Submit receipts for reimbursement.

Games: Coordinate with lead volunteers.  Two levels.  PreK/K and 1st-6th grade outdoor.  Develop plans for games for 4 days of 25-minute sessions.  Review inventory and order new supplies as needed.  2026 we need new bouncy balls for prek/k and older kids.  Submit receipts for reimbursement for any expenses.

Music: select 10 songs with action related to the theme of the week to teach the children during the week, share the videos with Camp Counselors and others via Google drive.  Assure that technology works for playing videos on ActiveBoards.  You can use songs previously purchased from VBS providers or create new videos or youtube. Submit receipts for reimbursement for any expenses.

Faith in Action: Develop activities to keep kids busy after they complete their snacks for 4 days.  Games can be repeated, especially if they work well.  Check inventory and order/provide new equipment as needed.  Submit receipts for reimbursement.

Order t-shirts and sort for families: Coordinate with Registrar to determine amounts of t-shirts per size and color.  Order additional white t-shirts with separate design for 5th /6th graders and their Camp Counselors to make tie dye – coordinate with tie dye leader.

T-shirt order will be ready on Wednesday, June 17 and must be sorted and packaged by family by Sunday for families to pick up from 8 am – 1 pm.  We have 12 different colors with multiple shirt sizes in each.  We have learned that while many hands seem like a good idea, for this task, fewer is better for quality control – only adults or focused teens.

5th/6th Grade Coordinator:  Work with 5th/6th Grade Craft and Activity Leader to have a plan for each day.  5th and 6th Graders average 40 campers.  They are included in the Games and Snack rotations with the other campers.  They are divided into two groups and attend Snack or games during the last two rotations of the day so that they engage with 3rd and 4th graders for games rather than the 1st/2nd graders.  The other hour and a half can be divided anyway you want and may include a faith lesson, Craft, Music, Activity, etc.  Ideally, this group would have a service project, but that is challenging.  You will need to determine what volunteers you need and may need to recruit adult volunteers.  Camp counselors will be assigned with varying abilities.

Tie dye:  Determine a design (black line image) to put on white shirt and make sure it is included with the T-shirt order.  Write first name (last initial as necessary if more than one camper has same first name, in some cases even last name) and t-shirt size, ie YL (youth large), AS (Adult Small) using permanent marker on laundry labels.

 Need at least two adults to supervise tie dye on Tuesday of Camp.  Review inventory of supplies before camp and replenish as needed.  Submit receipts or coordinate with ordering coordinator.

2-4 persons to rinse and wash the tie dye shirts on Wednesday to return to campers on Thursday to wear on Friday.

Creating laundry labels ahead of time and rinsing/washing can be done by a parent who needs to volunteer from home.

Volunteer lunches:  Create signup genius (can be duplicated from previous year) for volunteer Camp Counselors and Adult volunteer families.  Simple lunches can be heated in crockpot or cooked in ovens right before lunch.

Family Pizza/Movie/Ice Cream Night: Plan and set-up evening with games/activities/food/showcase songs/dances for families.  Update signupgenius for RSVPs, etc.

Slide show for Family Movie Night:   photographer during the week and creation of slide show.  No photos on social media, only internal use at Movie Night.

Group leader bags including rosters, maps, schedules, first aid mini kit, jump ropes,

Skits – write a skit or opening program for each day; cast and direct rehearsals weeks ahead of time; coordinate props and costumes.

Service project for families:  SVDP or donations for Crisis Pregnancy Center or other.
